Automating the lead management process at your gym, school or studio simply makes good business sense. It ensures your leads are contacted and nurtured, so none of them fall through the cracks. It also drastically cuts down on the time it takes for a lead to become a member or student.

Automations help staff and students alike.Recently, our customer and friend, Bob Patrick, owner of Duluth Fit Body Boot Camp, told us that when he automated his gym’s lead management process, he cut his lead cycle time in half. When Bob told us that, we decided it would be beneficial for other gym owners to know the difference between a manual and automated lead cycle. So we mapped out two average lead cycles below.

One cycle is automated, and the other is manually managed. They both have the same number of gym to prospect contact points, but one cycle is shorter- simply because automation eliminates the need for someone to make calls and send emails.

Manual Lead Management Cycle
Day 1: Prospect submits online inquiry form
Day 2: Gym owner emails prospect reply with invitation to try a free workout
Day 5: Prospect comes into gym to workout
Day 10: Gym owner sends prospect email follow-up
Day 17: Gym owner calls and leaves a message for prospect
Day 24: Gym owner sends prospect email follow-up
Day 25: Prospect comes back in and joins gym

Automated Lead Management Cycle
Day 1: Prospect submits online inquiry form
Day 1: Automated email goes out to prospect with invitation to try a free workout
Day 5: Prospect comes into gym to workout
Day 6: Automated email goes out to prospect thanking them for coming in
Day 9: Automated email goes out to follow-up with prospect
Day 12: Automated email goes out to prospect encouraging them to join gym
Day 13: Prospect comes back in and joins gym

As you can see, just removing the need for manual follow-up significantly reduces the time it takes to convert a lead into a member. By shortening your lead cycle, you bring in more members and revenue, so your business grows at a faster rate. You also get the added benefit of having a lot more time to focus strategically on business growth and build stronger relationships with your members.

Doing things by hand takes more time. From washing clothes to manually following up with your leads, if it’s done by hand, it will take longer to do. Get your time back and start automating your processes today!
